About the Role
We are seeking two organised and reliable Administration Officers to support the smooth operation of our Cairns Base. In this role, you will provide a wide range of administrative services, including managing incoming and outgoing mail, processing orders for stationery and uniforms, coordinating vehicle servicing, and assisting with Medicare billing and clinical processes. You will also support the scheduling of patient appointments, organise meetings, and handle data entry to ensure efficient base operations.
We have the two following positions available positions available;
- Permanent, part-time (0.6 FTE), three days per week (Monday to Wednesday), with potential flexibility based on the successful candidate's availability.
- Full-time max-term (12 months)
- Process incoming and outgoing mail, faxes, and freight
- Complete stationery and uniform orders for the Base
- Manage vehicle administration, including odometer readings and servicing requirements
- Open and close the Base, including tidying meeting rooms and kitchens
- Provide non-clinical support, such as assisting with Medicare billing and clinical stores processes
- Cover reception duties, including answering and transferring calls
- Schedule patient appointments in accordance with procedures
- Complete accurate data entry and assist with end-of-month data checking
- Book meeting rooms and Base vehicles, and organise meetings
- Conduct minute-taking as required and maintain records
- Provide backup and relief to other Administration team members when necessary
- Perform other administration duties as required
The ideal candidate will be an organised and self-motivated individual who thrives in a busy and supportive environment. You will also have:
- A minimum of a Year 12 High School Certificate
- 1-3 years of relevant administrative experience
- Proficiency in Microsoft Office (or the ability to learn)
- Confidence using computer systems and software (or the ability to learn)
- Strong attention to detail and accuracy in data entry
- Ability to work independently and as part of a team
- A commitment to maintaining confidentiality
