Job Description:

The Executive Support Officer will provide high level administrative and coordination support to the Chief Medical Officer (CMO) and Executive General Manager - Virtual Health & Clinical Informatics. Supporting the smooth running and optimisation of operations within RFDS Executive leadership team.

This is an exciting new role working with RFDS Virtual Health & Clinical Informatics and Medical Services leaders, on a permanent full-time basis!

Key Accountabilities:

As the Executive Support Officer, you will:

  • Provide scheduling and time management support to Executive Leaders, including diary management, planning & scheduling meetings and email management
  • Report writing, document preparation and drafting of presentations
  • Provide administrative, secretarial and governance support to key meetings, including meeting minutes and the management and follow up of action items
  • Conserve time of the Executive Team by reading, researching, collecting and analysing information, routing correspondence and drafting letters and documents
  • Consult and liaise with relevant stakeholders and/or internal business partners to obtain accurate information and reporting in a timely manner
  • Maintain up to date records and document control
About You:

To be considered for this position, you will have the following:
  • Certificate in Business Administration
  • 5-7 years relevant experience
  • Experience supporting multiple senior leaders and executives
  • Proven experience resolving problems and working collaboratively with other stakeholders
  • Highly developed organisational and time management skills and the ability to prioritise and manage multiple stakeholders
  • Proactive in seeking innovations and optimisations to improve processes
  • Exceptional communication skills, both verbal and written
