Following an internal promotion, the Royal Flying Doctor Service (RFDS) (Queensland Section) is looking for an Administration Coordinator to join the Nursing and Clinical Services team. The role requires you to provide high-quality coordination to the Executive and Leadership team, as well as assist the department in achieving an efficient and effective operating rhythm to meet business objectives. You will be an experienced and highly skilled communicator looking for a new challenge in your administration career.
In this role you will;
- Provide accurate and timely coordination, administrative and support services to the Executive and Leadership team including reporting, planning, diary management, and travel coordination
- Organise and coordinate meetings, including distribution of agendas, confidential minute taking and tracking of action items
- Assist with business case development, reporting requirements, policy and procedure development, review, formatting and updating of documents
- Support project governance, project management and project coordination for both internal and externally managed projects
- Coordinate student placements, liaising with universities and RFDS managers
- Provide administrative support for specified programs as required
Who are we looking for?
You will be an experienced administrator who is thorough and detailed, possesses multitasking skills, is a team player and is personable. Additionally, you will have:
- Certificate or Diploma in Business Administration (desirable)
- Knowledge or ability to rapidly acquire knowledge regarding nursing and clinical services
- Demonstrated experience in managing and organising, minute taking and action tracking for senior-level meetings
- Ability to respectfully manage and maintain the security of confidential and sensitive information
- High-level proficiency with Microsoft Office applications specifically- Outlook, Word, PowerPoint and Excel with the ability to learn and coordinate new systems.
- Exceptional written and verbal communication skills, with the ability to communicate and coordinate effectively at an Executive level and with a range of internal and external stakeholders
- Excellent organisational and time management skills of self and others with the ability to act fast and problem solve
- Demonstrated ability to work autonomously and ensure the achievement of team goals
- Experience with adapting to emerging technologies

The Royal Flying Doctor Service in Queensland provides excellence in and access to primary health care and aeromedical services across the state. Our emergency retrieval service operates 24 hours a day, seven days a week, delivering the finest care to more than 330,000 Australians each year — that’s one person every two minutes! The Nursing and Clinical Services Team provides some of the most comprehensive and extensive services within the Queensland Section of the RFDS. A passionate, highly trained, and skilled team of Nurse Practitioners, Flight Nurses, Primary Health Care Nurses, Senior and Mental Health Clinicians, Dentists, and Dental Assistants provide essential health care services to people across Queensland.
