We are seeking an organised and detail-oriented Aviation Safety Administrator to join our Aviation Safety team in Brisbane. This is an exciting opportunity for an experienced administration professional who thrives in a fast-paced environment and enjoys coordination, governance, stakeholder engagement, and supporting aviation safety excellence.

About the Role

In this full time role, you’ll report directly to the Aviation Safety Manager and provide high-quality administrative and governance support to the Aviation Safety team. You will play a key role in coordinating safety activities, managing documentation and records, supporting audits and investigations, and ensuring actions are tracked through to completion.

This is a varied role where no two days are the same, offering the opportunity to work closely with stakeholders across Flight Operations, Engineering, Clinical Governance and Risk & Assurance.

Key Responsibilities

  • Coordinate Aviation Safety meetings, including agendas, meeting packs, minute taking and action tracking
  • Maintain accurate safety records, registers, databases and document management systems
  • Monitor and follow up action items to ensure completion within agreed timeframes
  • Prepare reports, correspondence and governance documentation
  • Support aviation safety investigations through information gathering, stakeholder coordination and tracking corrective actions
  • Assist with internal and external audits, including scheduling, documentation preparation and monitoring audit actions
  • Provide diary management, scheduling and administrative support to the Aviation Safety team.
  • Act as a key point of contact for aviation safety enquiries and stakeholder coordination
  • Contribute to continuous improvement initiatives across the Safety Management System
About You

To be successful in this role, you will bring:
  • Previous experience in an administration, executive support, governance or coordination role
  • Demonstrated experience coordinating meetings from end-to-end, including agenda preparation, minute taking and action tracking
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Exceptional attention to detail and commitment to maintaining accurate records
  • Well-developed written and verbal communication skills
  • Intermediate to advanced Microsoft Office skills, particularly Outlook, Word, Excel and SharePoint
  • The ability to work independently while building effective relationships across diverse stakeholder groups
  • Previous experience supporting compliance, governance, quality, safety or audit functions will be highly regarded
