About the Opportunity
We are seeking a Training & Checking Administration Officer to support our Aviation division. Reporting to the Head of Training and Checking, this role provides high-quality administrative and coordination support to enable the effective delivery of aviation training, checking and operational compliance activities.This position plays a critical role in managing training records, pilot compliance, reporting and system administration, while also providing broader administrative support to the Flight Operations team during periods of leave or increased operational demand.
Key Responsibilities
- Provide administrative support to Training and Checking operations, including diary management, scheduling, travel coordination and meeting support.
- Manage and maintain training and compliance records across Air Maestro and Learning Management Systems
- Monitor pilot recencies and competency records, escalating issues where required.
- Coordinate correspondence with pilots, training providers and CASA as required.
- Prepare reports and data analysis including training statistics, recency reports and operational summaries.
- Support onboarding and training activities for pilots and Medical Transport Specialists.
- Assist with audit, compliance and document control requirements in line with CASA and internal standards.
- Collaborate with internal stakeholders to support broader Flight Operations administrative functions.
About You
You will bring:
- Demonstrated experience (3+ years) in a similar administrative or coordination role within a busy office environment.
- Strong organisational skills with the ability to manage competing priorities and meet deadlines.
- Experience in records management, reporting, data analysis and document control.
- High-level proficiency in Microsoft Office and the ability to quickly adapt to new systems.
- Excellent communication and interpersonal skills, with a collaborative and proactive approach.
- A high level of discretion and professionalism when handling confidential information.
Desirable:
- Experience within aviation, aeromedical or charter environments.
- Experience using Air Maestro or similar aviation compliance systems.
- Knowledge of aviation regulatory frameworks (CARs, CASRs, CAOs, AIP).
- Certificate or Diploma in Business or Business Administration.
