About the role:
We are seeking a Medical Chest Admin Officer to join our Clinical Governance
Team. This role provides dedicated administrative support to the RFDS Medical
Chest Program, which supplies secure, fully stocked “mini pharmacies” to remote
households, workplaces, and communities.
Working closely with the Lead Pharmacist and Head of Clinical Governance, you will ensure the program operates efficiently, safely, and in line with strict legislative and compliance requirements. The role is well suited to an organised, detail-focused administrator who can work independently and follow compliance driven processes.
The role is preferably based in Broken Hill, NSW with the option of Dubbo, NSW and is offered as a Part-Time (0.6 FTE), 18-month fixed-term contract, with potential extension based on program needs.
Key Responsibilities:
- Process and coordinate medical chest orders across scheduled weekly cycles
- Lead the inactive chest follow-up project by systematically contacting and resolving inactive or uncontacted chests custodians and documenting outcomes, escalating where required
- Receive and reconcile returned medications, file supplier documentation, and coordinate destruction in line with legislative and RFDSSE requirements
- Respond professionally to medical chest custodian enquiries via phone and email
- Maintain and update the custodian database and undertake medical chest audits
- Manage courier and postage arrangements for medical chest supplies and returns
- Maintain and update Medical Chest program documentation and records
- Contribute to the continuous improvement of program processes, identifying inefficiencies and suggesting practical administrative solutions
About you:
- Proven experience in high‑volume administration
- Excellent attention to detail and record‑keeping skills
- Strong communication skills and confidence engaging with a variety of stakeholders
- Proficiency in Microsoft 365 (Outlook, Word, Excel, SharePoint)
- The ability to manage competing priorities with minimal supervision
