When people talk about the Flying Doctor, thoughts generally turn to red-bellied planes undertaking rescue missions in the Outback. However, the current Victorian story is one that reflects today's challenges for people living in remote and rural communities across the state. While we do still transport people by air and by road, this work is complemented by a range of primary health services that address the most common issues people living in country Victoria face when accessing health care.
About the role:
The Fundraising Administrator plays a vital role in supporting donor care and the day‑to‑day operations of the Regular Giving Program. This position ensures donor details are accurate, donations are processed efficiently, and data standards are consistently maintained. You’ll help strengthen donor relationships by responding to enquiries in a timely, professional manner and assisting with communications and program activities. By providing reliable administrative support and contributing to smooth operational workflows, the Fundraising Administrator helps drive strong fundraising outcomes and supports the organisation in achieving its mission. This role is ideal for someone who enjoys detail, structure, and supporting meaningful donor relationships, bringing strong organisational skills, a customer‑focused mindset, and the ability to work both independently and collaboratively.
Key responsibilities include but not limited to:
- Maintain accurate, current, and well organised donor and fundraising records to support effective reporting.
- Process donations and associated documentation promptly, ensuring all administrative steps are completed to organisational standards.
- Manage data consistently across systems, upholding accuracy, compliance, and established data entry protocols.
- Strengthen donor relationships by maintaining accurate contact details, preparing tailored information, and ensuring records capture recent engagement.
- Respond to internal and external enquiries in a timely and professional manner.
- Assist with reconciliation, data checks, and the preparation of routine fundraising reports.
- Assist with coordinating with suppliers, contractors, and service providers involved in fundraising activities as required.
- Contribute to continuous improvement by supporting quality assurance processes and identifying opportunities to enhance workflows.
- You may be required to travel occasionally to RFDS locations
To be successful, you will need:
Required
- Strong organisational skills and ability to manage multiple priorities in a fast-paced environment
- Clear and professional communication skills, both written and
- High attention to detail, ensuring accuracy across documents and data
- Confident working across a range of digital systems, tools, and platforms, with a willingness to learn new technologies
- Strong people skills to build rapport and manage sensitive interactions
- Basic understanding of Excel
- A valid Working with Children Check (WWCC) is required
Desirable
- Understanding of donor stewardship principles and supporter focused communication.
- Knowledge of Regular Giving or donor lifecycle processes.
- Experience in processing Accounts Receivable transactions, including EFT, cash payments, as well as performing account balancing, reconciliation, and banking duties.
- Experience using reporting tools or data insight platforms (e.g., Dataro, Power BI).
- Understanding of donor stewardship principles and supporter focused communication.
