Executive Support Officer - Full Time

The Royal Flying Doctor Service South Eastern Section(RFDSSE)is currently recruiting an experienced Executive Support Officer. This position provides comprehensive, high-quality administrative support to two Executive General Managers and plays a key role in ensuring the efficient and effective operation of their portfolios.
This is a diverse and fast paced role supporting two senior executives, requiring a proactive individual with exceptional organisational skills, a flexible approach to evolving responsibilities, and the ability to build strong working relationships across teams and support functions within the RFDSSE.
The position is based at our Surry Hills office and is offered on a full-time basis; however, a four-day working week may be considered.
What you will be responsible for:
- Delivering comprehensive calendar and diary management support.
- Coordinating all aspects of meeting preparation, including agendas, briefing materials, minutes, and catering arrangements.
- Managing communications and correspondence with internal and external stakeholders on behalf of the Executive General Managers.
- Preparing high-quality written materials, including correspondence, briefs, reports, and presentations.
- Assisting with project coordination, documentation, and the monitoring of actions and deadlines.
- Organising travel arrangements, including bookings, itineraries, and associated logistics.
About you and your experience:
- Demonstrated experience in senior administrative or executive support roles.
- Proven ability to manage multiple stakeholders within a complex organisational environment.
- Exceptional organisational skills, with the capacity to prioritise tasks and meet competing deadlines.
- Strong written communication skills, including experience preparing briefs, reports, and meeting minutes.
- A professional, confident, and proactive approach when engaging with internal and external stakeholders.
